Learn what Spacebrain CRM is and how leads, contacts, companies, deals, conversations, ownership, and customer activity fit together.

What is Spacebrain CRM?

Spacebrain CRM is the workspace's shared system for managing customer relationships. CRM means customer relationship management. It stores durable records for leads, people, companies, and deals, then connects those records to conversations, ownership, tasks, automations, and AI-assisted work.

In Spacebrain, an individual customer or contact is stored as a Person. This is different from Chat & Voice → Contacts, which is an outreach audience rather than the main customer record. Use CRM → People when you want a lasting contact record with customer history.

The main CRM views are Dashboard, Leads, Deals, Pipelines, People, Companies, Custom Fields, Lead Scoring, and AI Copilot.

Choose the right record

  • Lead: an individual or organization being qualified or worked through a lead process.
  • Person: a durable individual contact record.
  • Company: an organization that can relate to people and commercial activity.
  • Deal: an opportunity with a stage and pipeline context.

Your workspace may use all four or a simpler subset. Agree on lifecycle definitions before importing data; inconsistent definitions create duplicate counts, confused ownership, and unreliable automation.

  1. Define the lifecycle and record types your team will use.
  2. Create only the custom fields needed for routing, qualification, personalization, or reporting.
  3. Configure a default pipeline and its stages.
  4. Add a small set of test people, companies, and leads.
  5. Configure ownership and lead-scoring rules.
  6. Test inbox, form, enrichment, workflow, and sequence updates against those records.
  7. Import production data in controlled batches.

Daily operating loop

Start from CRM → Dashboard for current workload and trends, then use saved views or filters to find records requiring action. Each active record should have an owner, clear next step, and current status. Conversations belong in Inbox; tasks should capture commitments; deal stages should reflect observable progress rather than optimism.

AI Copilot

Configure workspace-level Copilot behavior under Settings → AI Copilot. Treat generated summaries, suggestions, and drafts as assistance, not the system of record. Review customer-facing content and never allow a suggestion to silently override ownership, consent, suppression, or an approved policy.

CRM quality checklist

  • Required identity fields have clear definitions.
  • Duplicate-search behavior is understood before import.
  • Every live record has an accountable owner or queue.
  • Stages and scores have written criteria.
  • Consent and source data survive imports and enrichment.
  • Automations use stable fields instead of free-form notes.
  • Dashboard totals can be traced to underlying records.

CRM FAQ

Is CRM the same as Inbox?

No. CRM holds the durable customer record and business context; Inbox is where the team handles conversations. A conversation can relate to a CRM record without replacing that record.

Is a Person the same as a contact?

For day-to-day CRM work, yes: a Person is the durable record for an individual contact. The separate Chat & Voice → Contacts area is for voice-outreach audiences, so choose the destination based on what the list is for.

Can I import contacts from another CRM or spreadsheet?

Yes. Import customer contacts into CRM → People and follow the field-mapping and validation workflow in records and imports. Start with a small representative file before importing the full dataset.
