Workspace and team setup
Configure workspace identity, add or invite teammates, choose roles, and prevent work from landing in the wrong workspace.
Confirm the active workspace
Use the workspace switcher when your account belongs to more than one workspace. The active workspace determines which contacts, conversations, connections, agents, content, usage, and settings you see.
Check it before you:
- Import or delete records.
- Connect or disconnect a provider.
- Assign a phone number, sender, domain, or social account.
- Publish content or enable an automation.
- Change a subscription, payment method, or agency setting.
Configure workspace details
Open Settings → Workspace and review the fields available to your role. Current workspace details include the workspace name, optional description, and logo, plus separate membership and invitation controls. Use a recognizable business name and logo so teammates can distinguish tenants before making changes.
Use Settings → General for your account profile and passkeys. Use Settings → Preferences for appearance, timezone, and notification selections. The timezone and notification selections currently save in the browser rather than as shared workspace scheduling controls, so verify customer-facing schedules in the campaign, webinar, workflow, or provider that owns them. How to add or invite a teammate
- Confirm that the workspace switcher shows the workspace the teammate should join.
- Open Settings → Workspace → Members and select Invite Member. You can also open the Invitations tab and select Invite Member there.
- Enter the teammate's intended work email.
- Choose Admin, Editor, or Viewer according to the access they need. Ownership is transferred separately after the person becomes a member; it is not an invitation role.
- Select Send Invitation.
- Ask the teammate to accept the invitation and confirm that they can switch to the intended workspace before doing any work.
Only workspace owners and admins can manage invitations. A pending invitation can be resent or deleted from the Invitations tab; resend the existing invitation instead of creating duplicates.
Invitations can expire, be revoked, or be blocked by email security controls. If an invitation is not visible, verify the address, check spam or quarantine, resend from Spacebrain, and avoid forwarding a private invitation between people.

Why can't I use Invite Member or the Invitations tab?
First confirm the active workspace. If it is correct, your role is probably not allowed to manage invitations. Ask a workspace owner or admin to send the invitation or change your role.
Which role should I choose?
Choose the least access required: Viewer for read-only review, Editor for operational work, or Admin for member and workspace-setting management. Review access after the teammate's responsibilities change.
How do I make a teammate the workspace owner?
Invite the person and have them accept first. An existing owner can then use the separate Transfer Ownership action; selecting Admin during invitation does not transfer ownership.
Access design
Separate responsibility where practical:
- Workspace owners: membership, sensitive connections, billing, and agency-wide configuration.
- Builders: agents, workflows, forms, pages, and templates.
- Operators: inboxes, CRM records, tasks, campaigns, and reports.
- Reviewers: approvals, analytics, quality checks, and incident review.
Exact roles and permissions can differ by account type. If a control is missing, confirm the workspace and role before assuming the feature is unavailable.
Offboarding a teammate
Before removing access, reassign owned leads, deals, tasks, conversations, campaigns, workflows, and scheduled content. Confirm that shared provider connections do not rely on a personal account that will be disabled. Then remove the member and rotate any credentials that were shared outside an approved connection flow.
Workspace readiness checklist
- Workspace name, description, and logo identify the correct business.
- Every module with scheduled activity uses the intended timezone and date boundaries.
- At least two appropriate administrators are available for business continuity.
- Every production workflow has a named owner and backup.
- Personal and shared provider accounts are distinguishable.
- Test contacts are clearly labeled and excluded from live audiences.
- Notification ownership is agreed before launch.
